Privacy Policy
This Privacy Policy applies to both OES App and OES Critical Alerts, collectively the “Apps.” Both Apps connect to OES, the backend platform owned and provided by Tri X Factor Ltd. (“we,” “our,” “us”). We respect your privacy and are committed to being transparent about how we handle your information.
This Privacy Policy applies solely to the OES App and OES Critical Alerts mobile applications (Android & iOS). Both apps connect to your OES account, which is created and managed by your police or government agency. Accounts cannot be created from within either app.
OES itself (the backend platform) is governed by the agreement between your agency and Tri X Factor Ltd., and your agency’s own policies govern its use. This policy covers only how data is handled when you use either mobile app.
- Account Information: Your name, email address, and login credentials (provided by your agency).
- Event Data: Information related to events you are assigned to, including notes you may add.
- Files and Uploads: Documents, photos, or other files you choose to submit through the portal.
- Push Notifications: A device identifier (OneSignal Subscription ID) linked to your OES profile, used to deliver notifications.
- Account Information: Your work email address, used either for single sign-on (SSO) where your agency has enabled it, or for direct email/password login.
- Group and On-Call Status: Your membership in agency-defined pageable groups (e.g. specialized response units) and your on-call status, used to determine which critical alerts you receive.
- Push Notifications: A device identifier (OneSignal Subscription ID) linked to your profile, used to deliver critical alerts.
- Alert Response Data: Your response (or non-response) to a critical alert, which is recorded and made visible to your agency for on-call coordination purposes.
- To authenticate you and connect you to your OES account.
- For OES Critical Alerts, to determine which on-call group(s) you belong to and route critical alerts to you accordingly.
- To allow you to view and update information related to your assigned events (OES App).
- To send you push notifications, including critical, time-sensitive alerts (OES Critical Alerts).
- To record and report alert response outcomes to your agency for operational and accountability purposes.
- To support your agency in managing staffing and communication needs.
We do not sell your information or use it for advertising or marketing purposes.
We use OneSignal to deliver push notifications for both apps. OneSignal generates a Subscription ID (Player ID) tied to your device and tracks delivery and response status for alerts sent to you. OneSignal may also collect:
- IP address and mobile device identifiers.
- Device type, operating system, browser, language, and time zone.
- General (approximate) location inferred from IP address.
Precise GPS location is not collected by either app. For more information, review OneSignal’s Privacy Policy.
Personal data associated with your account is stored in the OES backend system managed by your agency, on servers located in Canada. Tri X Factor Ltd. provides the technical platform but does not independently create or manage user accounts. Data is retained for as long as your account remains active with your agency, or as required by your agency’s records retention policies.
Push notification delivery uses OneSignal, a service provider located in the United States. The Subscription ID and the device and network information described above under Third-Party Services are processed there for the sole purpose of delivering notifications and recording their delivery and response status.
Written information about our policies and practices respecting service providers outside Canada is available on request from the Privacy Officer, Tri X Factor Ltd., at support@trixfactor.ca.
The Apps are intended for use by authorized personnel of client agencies only. They are not directed at, or intended for use by, minors, and we do not knowingly collect information from anyone under the age of majority.
- You may stop receiving push notifications at any time by disabling notifications in your device settings or uninstalling the app.
- Accounts are created and managed by your agency and cannot be created from within the Apps. You may request access to, correction of, or deletion of your OES account and associated data by contacting your agency administrator. If you require further assistance, you may also contact us at support@trixfactor.ca.
- Some records may be retained after account deletion where your agency is required to keep them under applicable records retention or law enforcement obligations.
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or regulatory reasons. The effective date at the top of this page will be updated accordingly.
